Managing Retention Policies
EasyLife 365 Mail lets you manage mailbox retention by integrating directly with Microsoft Purview retention policies. These policies support compliance by defining how long emails and other items are kept before being automatically archived or deleted.
Overview
Retention policies are defined in Microsoft Purview, but EasyLife cannot automatically retrieve these definitions. As an administrator, you must manually add the names of your retention policies to EasyLife's configuration. Once added, these policies can be assigned to EasyLife Templates and will be applied automatically whenever a resource’s template is updated.

Configuring Retention Policies in Settings
To configure retention policies in EasyLife:
- Navigate to the Settings section in EasyLife 365 Mail.
- Select the Retention Policies tab from the left menu.
- Enter the exact name of a retention policy as defined in Microsoft Purview in the input box.
- Click the + button to add the policy to EasyLife.
- To remove a policy, click the trash icon next to the policy name.
- Click Save changes to save your configuration.

How Retention Policies Are Applied
Retention policies are applied when:
- Provisioning new mailboxes: The retention policy specified in the template is set during mailbox creation.
- Assigning templates to existing mailboxes: When a template is assigned to an existing mailbox, the retention policy is updated accordingly.
- Template updates: When the underlying a template for a mailbox is changed the retention policy is also changed.
Troubleshooting
Policy Not Applying
If a retention policy is not being applied:
- Verify that the policy name in EasyLife matches exactly with the Microsoft Purview policy name.
- Check that the template is active and assigned correctly.
- Check that the template has a retention policy assigned to it.
Default MRM Policy
If no retention policy is specified in the template, Exchange Online will apply the Default MRM Policy if one is configured in your organization.
