How to Bulk Import Distribution List Members Using CSV

EasyLife 365 Mail simplifies the process of adding users as members to distribution lists by providing a feature that allows the import of members in bulk using a CSV file. The Bulk Import feature enables you to add multiple users efficiently while ensuring accuracy and consistency.

How to Create a Distribution List with Bulk Import

Follow these steps to create a distribution list and use the Bulk Import Icon to add members and owners efficiently:

  1. In the EasyLife 365 Mail App, click Create from the main menu.
  2. Scroll to the Distribution Lists section.
  3. Select a template from the available list of templates. This will take you to the distribution list creation wizard.
  4. Fill in the required fields with memorable values, as you'll need to refer back to this distribution list.
  5. Click Next to proceed to the Members and Owners step.
  6. On the Members and Owners page, click the Bulk Import Icon, which will launch the bulk import popup.
  7. Click the sample csv file link to download a sample file and add your desired members and owners to the file, following the provided format.
  8. To upload the CSV file, drag and drop your completed file into the upload area or use the file browser to select it.
  9. The system will validate the uploaded data, and successfully imported members and owners will appear in the Members/Owners Table below.
    • You can also change the role of imported users from "Member" to "Owner" using the dropdown next to their username.
    • If any errors are detected (e.g., duplicate entries or invalid users), fix them and re-upload the file.
  10. Click Let's do it to queue the distribution list for creation.

How to Edit Distribution List Members Using Bulk Import

The Bulk Import Icon in the details mask allows you to efficiently update the members and owners of a distribution list. Follow these steps to use the feature:

  1. Navigate to the Team tab under the selected distribution list details.
  2. In the Members section, click Edit, and in the member edit screen, find the Bulk Import Icon next to the user search input.
  3. Click the sample csv file link to download a sample file and add your desired members and owners to the file, following the provided format.
  4. To upload the CSV file, drag and drop your completed file into the upload area or use the file browser to select it.
  5. The system will validate the uploaded data, and successfully imported members and owners will appear in the Members/Owners Table below.
    • You can also change the role of imported users from Member to Owner using the dropdown next to their username.
    • If any errors are detected (e.g., duplicate entries or invalid users), fix them and re-upload the file.
  6. After confirming the updated members and owners in the table, click Save to apply the changes. Invalid entries flagged during the upload will not be added until corrected.

Error Handling

The Bulk Import feature ensures data accuracy by:

  • Flagging Invalid Email Addresses: Incorrect formats are highlighted for correction.
  • Identifying Unmatched Users: Entries that do not match existing users are flagged.
  • Guest Restrictions: Entries not allowed by the template are identified as errors.

Best Practices

To ensure a smooth import process:

  • Begin with a small test import to validate your CSV format.
  • Ensure that templates are configured correctly to permit or restrict guest accounts in the import. By default, all distribution list templates disallow guest accounts as members of a distribution list.
